Working better together with automated governance

Learn how to get the most out of Microsoft 365 while Objective supports your compliance requirements

During Collaborate 2021, Cameron Thornton, Solution Director Information Governance at Objective and Pratikshya Kuinkel, Product Manager at Objective, discussed how you can get the most out of Microsoft 365 while Objective delivers the governance you require.

Microsoft 365 is one of the most popular collaboration suites that offers users the ability to share and participate across various activities that include document production and distribution, video conferencing, corporate social networks, and co-authoring. When it comes to compliance requirements, Objective can offer support with Objective integrations with Microsoft 365 applications, automated email capture, connectors for Power Automate and Objective GOV365.

Integration points for Microsoft 365 applications

Objective integration points provide governance by automatically capturing content and context for natively generated Microsoft 365 content, surfacing context and content through the applications, or by supporting and enhancing your policies and procedures for the governance of your Microsoft 365 tenancy.

Cameron and Prati explored integration points for Microsoft 365 in addition to Word, Excel and Powerpoint:

  1. Microsoft 365 add-ins – Allow a user to quickly and easily edit or release a document from within the application, while surfacing contextual information to the end user in the content details pane.
  2. Metadata – Feed information like reference numbers automatically into the document
  3. Co-authoring – Enable users to jointly co-author a document and save a version while it is being co-authored.

Integrating with email

For email services, Objective integrates with Outlook add-ins with the ability to capture the email, its attachments, and importantly, the surrounding metadata associated with the email. With IQ, the user can just drag and drop an email while still capturing all essential metadata surrounding the email, including any attachments.

Objective also has Automated Email Capture (AEC) which allows server-side integration between the exchange and Objective. AEC also enables you to map any security classifications that are sent as part of the email correspondence. Administrators can map an email address directly to Objective ECM container, and this means that emails sent to that address will be captured automatically, whether it’s from external or internal users.

End users can also map an Objective ECM folder directly to an Outlook folder. This allows the user to move an email into an Outlook folder and it will be automatically captured without any user intervention.

Applications without specific integrations

Objective also offers Objective Inform connectors for Power Automate for those Microsoft 365 applications that we don’t have specific integrations with. With Power Automate connectors, there are over 30 actions that allow you to develop your own integrations to capture content and context from other Microsoft 365 applications or other applications that have Power Automate connectors.

Whether creating documents, folders, or files, updating metadata, or even using Objective ECM workflow capability, Objective already has customers capturing content from CRM dynamics and Dropbox using these connectors.

Record capture with context

Along wit the recent drive in the modern workplace, there has been extensive use of Teams in organisations for collaboration and communication. Every day, new teams are created. Every hour, different files are shared. Every minute, decisions are made in Microsoft Teams.

Last year at Collaborate, Objective presented our governance solution for Microsoft Teams called Objective GOV365 which lets government agencies confidently embrace this tool with the knowledge that information and context is captured as a corporate record, within their existing EDRMS system. This occurs automatically and seamlessly while the users can continue to collaborate in Teams without having to compromise on their usual work style.

Teams is regularly used for collaboration – be it through meaningful conversations or files you share during those conversations. Similarly, virtual meetings have become an integral part of our everyday life, and rightly so with remote work.

Microsoft Teams lets you organise and even record these meeting sessions so that people who could not attend can catch up, or even decisions made during those meetings can be captured. There is a lot of content being generated every day in Teams, and this information has to be harnessed – be it for briefing to your ministers, for freedom of information requests, or even keeping record of your decisions and the contexts in which they are made.

Without proper governance of this content, all your intellectual property is either siloed or possibly lost over the course of time. That’s where Objective GOV365 helps you.

All files uploaded, emails shared, recorded team meetings and their associated metadata are all preserved as a record with Objective GOV365. If anything was shared using private channels, Objective also keeps your Microsoft 365 security intact. A record is generated of the conversation that happened during that period, retaining the context in which information was created or shared so that users can easily navigate to the captured documents in ECM directly from the report – even after the team is finalised and no longer exists in the Microsoft 365 environment.
